If uncertain regarding the relevance of certain materials, the Archivist will determine their significance. All donations must include notes or summaries of purpose. All photographs should have the subjects identified by name, class, or graduation year, date and name of the event at which the photo was taken. All artwork should have a title, date, artists name, and class year if possible.
Students, staff, faculty, and researchers coming to do research in the Archives must not use pens of any kind. Pencils are to be used. All personal belongings other than materials needed for researches are to be left in the display room. Food and drink are not permitted in the library or the Archives. Most materials owned by the Archives do not leave the Archives. Borrowing is very limited. Researchers must receive permission to sign out anything that is borrowed. Photos are non-circulating items. However, the Archivist will scan and copy a limited amount of photos upon request. A few photocopies will be made in the Archives department for free. Extensive photocopying must be done in the copy center at the researchers expense and materials be returned that same day. Requests for materials and information must come directly from the researcher. Requests may be made by phone, email, written request, or fax.
When requesting materials, the Archivist must be given ample time to gather information. Simple projects may take 3-7 days to complete. Always be specific when requesting materials because the Archives may possess hundreds of materials pertaining to a generic request. The timeline for more complex projects can be discussed with the Archivist.
All information gathered from the archives must be cited according to proper citation guidelines and federal copyright laws.
